This new price comparison template can be used for comparing office supplies from multiple vendors or grocery prices at your favorite stores. I created this based on a request from a user who wanted to list prices and item IDs for up to five vendors and then filter the list to create a shopping list.

Using the Supplier Comparison Chart for Excel. The chart consists of two pages. It essentially compares two or more suppliers against each other based on features that a supplier must have. Product Comparison Template

Description

This spreadsheet contains two different cost comparison worksheets. The main difference is that one of them lets you include product IDs unique to each vendor.

You can create a shopping list by filtering the table to display only the items where the quantity is greater than zero.

The Subtotal formula uses the SUMPRODUCT function to multiply the price by the quantity and sum the results.

You can leave the Tax(%) and Shipping fields blank, but don't forget that some online stores make up for discount prices by charging more for shipping.

How to Use the Cost Comparison Template

Unit Prices

Vendors and stores may offer packages with different weights or quantities. For a more accurate cost comparison, you may want to list the Unit Price. For example, if Costco sells a package of 25 pens for $4.50 and WalMart sells a package of 5 pens for $1.25, you can enter the price as the unit price: =4.50/25 for Costco and =1.25/5 for WalMart. Then, the quantity for Costco would be entered as multiples of 25 and the quantity for WalMart would be entered as multiples of 5.

TIP: You can press CTRL+ALT+F9 to calculate the result of '=4.50/25' as you are editing the cell if you want to store the value '0.18' rather than the formula '=4.50/25'.

Creating a Shopping List

The List column in the price comparison table contains a formula that checks whether the sum of the quantity (Qty) amounts is greater than zero. If it is, the formula returns an 'x'. You can use the AutoFilter feature in Excel to hide all the rows except for the rows where the List column includes an 'x' - just click on the Arrow in the header of the List column and unselect everything but the 'x' option.

Adding More Items (rows)

This is extremely easy to do. The price comparison worksheet uses the Excel Table feature (previously called a 'List' in older versions of Excel). Just right-click on a cell within the Table and go to Insert > Table Rows Above or Insert > Table Rows Below.

Adding More Vendors (columns)

You will need to be fairly comfortable with Excel to make the modifications necessary to add more vendors. You can start by inserting new columns, renaming the table headers, copying the formats for the columns from other columns, updating the List formula to include the new Qty column, and updating the inputs and formulas below the table.

Price Comparison Resources

  • PriceGrabber.com - There are many different price comparison sites, but pricegrabber.com is one of the best that I know of. Other good ones are Yahoo! Shopping (large number of retailers listed) and NexTag.com (shows price history over time).
  • ConsumerReports.org - ConsumerReports.org may not be the best place to run price comparisons, but it's the best place to find unbiased product reviews. They specialize in testing vehicles, appliances, electronics, tools, and other consumer products. If you want to be a well-informed consumer, the subscription is well worth it.

Create your own feature comparison table using Excel®

There are many different ways that you might want to use a table to compare the features or specifications for different products. You might be comparing different versions of your own products (free, student, business, enterprise), or doing a competitive analysis comparing products created by different companies.

One set of features might use simple check marks to indicate whether a product supports the feature. I designed this feature comparison template to demonstrate many different ways of showing different types of ratings, specifications, and check marks using a table in Excel. The techniques mostly involve the use of data-validation drop down lists in Excel, special characters for stars and check marks, and various conditional formatting techniques like icon sets and data bars.

To use the table, you can delete all the rows that you don't need and then insert more rows and copy/paste rows that you want to use.

Feature Lists with Check Marks using Unicode Symbols

If your computer can display the Unicode check mark symbol ( or ), then using that symbol is a very simple way to create a feature list for different products. See my article Unicode Character Symbols in Excel or this page on wikipedia.com for a list of various Unicode symbols you may be able to copy/paste into Excel. Here are some of the symbols I find useful:

5-Star Rating System ★★★★★

A simple 1-5 star rating system is extremely easy to create with a drop-down list. You can change the color of the stars by changing the font color. Copy the character or symbol and go to Data > Data Validation and choose List. In the Source box, create the following comma-delimited list:

Benefit of Using Icon Sets

Many of the techniques demonstrated in this template use custom conditional formatting icon sets. One of the reasons I like using icon sets is that they can be based on numeric values. So, if you were doing a competitive analysis and had a fancy formula for combining the rankings for a group of features to come up with an overall score, you could use numeric rankings for the features. The icons would be displayed, but the numeric values that the symbols are based on can be used in formulas.
